This is the default opening in the assistant configuration. Your practice can replace it during setup.
Ask what works for the patient
The assistant is instructed to confirm the intended patient, then discuss clinician and timing preferences.
Example: "Would you prefer a morning or afternoon appointment?"
Questions adapt to the conversation. This example is not a fixed questionnaire or a recording of a patient call.
For clinical questions, the assistant offers reception follow-up instead of giving clinical advice.
Offer times and record the choice
The assistant can offer up to three appointment options from imported availability, with spoken dates and times.
Example: "I can offer [day] at [time], or [day] at [time]. Would either of those times work for you?"
If no imported options match, the current system can generate fallback times. Review this behaviour with Westwood during setup.
Recall records the agreed time and passes it through your configured email or integration handoff.
Your practice agrees how that time reaches its diary. This is not a promise of direct diary booking.
Let the patient decline
Proposed closing: "Of course. Thank you for your time. Goodbye."
This closing is illustrative wording for review. The inspected assistant configuration has no fixed decline sentence.
When a decline is recorded against the campaign contact, that contact stops receiving calls in that campaign.
This depends on the call outcome being recorded correctly. It is not a permanent opt-out across every practice campaign.
